DESCRIPTION OF JOB:
The Sustainability Leadership Program Coordinator provides coordination, and support for the administration, advancement, community relations, marketing, and recruiting for the Sustainability Leadership Graduate Program. The Sustainability Leadership Program Coordinator reports to the Sustainability Leadership Program Director.

Responsibilities:
ROLE: Program Coordination
- Point person for communications related to overall program administration.
- Ensure timely follow-through by responsible parties on all administrative tasks.
- Produce semi-annual budget reports that reconcile budgetary information in the General Ledger with data kept by the Academic Program Director.
- Work with Business and Financial Aid Offices to determine program costs, payments schedules, reimbursements, etc., of individual students based on their course load, participant status, scholarships, corporate discounts, employer tuition reimbursement, course vouchers, and any other factors that apply.
- Serve as communications hub between student, employers, and Edgewood offices (including the School of Graduate and Professional Studies (GPS), Business, Financial Aid, Registrar) on matters related to program costs, payments, and reimbursements.
- Coordinate electronic and regular mailings to Advisors and community partners.
- Assist with organizing and tracking assignments, and organizing readings on Blackboard. Assist with use of Blackboard for connecting students with resources, ensuring good communication among instructors and students, and organizing and tracking readings and other assignments.
- Oversee updates on files and databases that track student inquiries, applications, scholarships, corporate and community partnerships, payment schedules and payments, etc., and ensure that necessary communications related to these file and databases occur with the appropriate internal offices (GPS, Business, Financial Aid, Admissions, Registrar, etc.) to provide smooth and effective student service.
- Assist with the registration of students throughout the academic year with the help of Edgewood Central.
- Reserve appropriate spaces, and arrange for room set-ups and refreshments, for classroom instruction (including at mealtimes) and special events associated with the SL program (Advisory Board meetings, workshops, etc.).
- Manage administrative tasks related to course scheduling and official semester Timetable revisions.
- Provide administrative support for the purchase and delivery of books, and preparation of resource binders, and other resource materials to students and Community Fellows.
- Arrange for meals with Dining Services, place and review orders and invoices, ensure appropriate quantity, at least half vegetarian, any special dietary needs, etc.
- Provide administrative support for summer residential course (SUST 650) and ensure proper availability and setup of classroom space, lodging, dining spaces, meals & snacks, etc.
- Provide administrative/logistical support for field trips.
- Support student acquisition of Edgewood ID, email accounts, course Blackboard sites, bus passes, etc.
- Provide logistical support (including scheduling, agendas, meeting notices, note-taking) for meetings.
- Arrange for creation of unofficial certificates for students and Community Fellows at last day of SUST 659, and manage process for students requesting official certificates from Registrar following program completion.
- Assist with hiring and supervision of student workers.
- Manage files and databases on contacts, students, evaluations and assessments, alumni and alumni job placements.
- Provide administrative support for fundraising and grant writing.
- Coordinate and track outreach to targeted businesses for scholarship fundraising (as well as for recruiting and project opportunities).
- Coordinate efforts with the College's Advancement Office as appropriate.
- Coordinate communications with and outreach to businesses, community organizations, municipalities, school districts, etc. for capstone project and other opportunities.
- Assist with scheduling meetings with students, faculty, community partners, etc.
- Proactively seek opportunities for improvement and oversee updates of brochures and website, including program descriptions, costs, schedules, project achieve, photo gallery, student/alumni testimonials.
- Assist with social media to promote the Program.
- Proactively seek advertising and promotion opportunities, and coordinate related initiatives with the Director of Marketing for GPS.
- Proactively seek newsworthy story opportunities, drafts press releases for approval by Program leaders, and coordinates distribution with the College's Director of Marketing.
- Proactively seek and coordinate opportunities for recruitment from diverse communities, coordinating with GPS as appropriate.
- Assist with program promotion for recruitment, e.g. scheduling, planning, and tabling at relevant events, and capturing and recording leads in database.
- Work with GPS staff to provide outreach to prospective students, e.g. regular follow-up contact, invitations to events, etc., and coordinating with GPS as appropriate.
- Work with GPS staff to track progress from inquiry through completed application, providing ongoing outreach throughout that process, e.g. following up to ensure all application materials are submitted.
- Undergraduate degree from an accredited institution in or related to higher education.
- Excellent verbal and written communication skills.
- Documented ability to successfully work independently and carry out projects from conceptualization to implementation to assessment.
- Proven ability to work as team member.
- Exceptional attention to detail, as well as the ability to see the big picture.
- Technological competence including working knowledge of spreadsheets, word processing, databases, and basic graphic design.
- Documented organizational skills; proven reliability.
- Sensitivity to cultural diversity and equity.
- Overall Proficient skill-level in Microsoft Office, which includes: Word, Excel, Power Point, Outlook, and basic computer concepts
- Knowledge of SharePoint is a plus
- Willingness and ability to learn new software
